Recurring Revenue, Without the Recurring Headache
01 October 2026
Business Central's new automated contract billing lets subscription and services businesses scale recurring invoicing without scaling the admin behind it.
The subscription model is quietly reshaping African business. Software and IT services sold by the month, equipment rented rather than bought, maintenance contracts, managed services, memberships, retainers — more and more revenue arrives not as a one-off sale but as a recurring promise. It is a wonderful way to build a predictable, growing business. It is also, if you are doing it by hand, an administrative treadmill that gets heavier with every new customer.
Anyone running recurring billing in a spreadsheet knows the monthly ritual: work out who gets invoiced for what, for which period, at what amount, then generate, check, and post invoice after invoice. With the 2026 Wave 1 release, Business Central takes that treadmill and largely automates it — with new automated contract billing in Subscription Billing.
What's New
Business Central introduces automated contract billing to simplify and scale recurring invoicing while preserving the flexibility that real-world customer contracts demand. In plain terms, it can create, post, and manage invoices and credit memos for customer contracts automatically — running quietly in the background rather than consuming a person's month-end.
Crucially, it is not all-or-nothing. The feature supports a range of approaches, so you adopt as much automation as you are comfortable with:
• Fully automated posting for predictable contracts where the invoice is the same every cycle.
• Proposal-based billing where an invoice is prepared for a human to review or adjust before it goes out — ideal for contracts that need a check.
It is built around billing templates and job queue automation, so you configure the billing behaviour per contract type — including invoice and credit memo logic, posting and document date calculation, invoice grouping rules, and the level of automation. The processing runs in the background through job queues, with built-in resilience and governance.
Why This Matters for Growing Businesses
The whole point of a subscription business is that revenue scales. The danger is that the admin scales with it. Automated contract billing breaks that link:
• Scale without adding overhead. You can grow a contract-based revenue model without growing the finance headcount needed to invoice it.
• Fewer errors, more consistency. Automated, template-driven billing improves accuracy and consistency across large contract portfolios — no more transposed amounts or missed billing periods.
• Faster cash. Invoices that generate and post on schedule, rather than when someone gets to them, mean a tighter, more predictable cash-flow cycle.
• Control and auditability preserved. Automation increases, but financial control, transparency, and auditability are maintained — important for any business that takes governance seriously.
Before and After: A Managed-Services Firm in Nairobi
Before: An IT managed-services provider bills 200 clients monthly — some on fixed retainers, some with variable usage. Every month-end, two finance staff spend the better part of a week building invoices from a spreadsheet, checking each one, and posting them. Mistakes slip through, a few invoices go out late, and as the client base grows, so does the strain.
After: Fixed-retainer clients are billed fully automatically via templates and the job queue. The variable-usage clients flow through proposal-based billing, where a finance team member reviews and adjusts before posting. Month-end billing shrinks from a week to a morning, accuracy improves, and the team is freed to focus on growth rather than invoice production.

Why Resellers Should Pay Attention
For CSP resellers and partners, this is a door into one of the fastest-growing customer segments: subscription, rental, and services businesses. Many are still running recurring billing in spreadsheets or wrestling with a generic invoicing process that does not fit a contract-based model. Helping them adopt automated contract billing — configuring templates, setting the right automation level per contract type, and standing up the Power BI app for subscription insight — is high-value, repeatable consulting. It is also a natural fit alongside the broader Subscription Billing capability, which handles renewals, deferrals, and revenue recognition for recurring models.
As subscription and as-a-service models continue to spread across African markets, the businesses that win will be the ones whose back office can keep pace with their growth. Automating recurring invoicing is exactly the kind of unglamorous capability that quietly determines whether a subscription business scales smoothly or strains under its own success.
